Suprata for HVAC contractors

Run your HVAC company from the first heat wave to the last tune-up

Suprata keeps your maintenance agreements, your trucks and your phones in one system. Spring and fall tune-ups land on the board by themselves. When the first hot week hits, every call gets answered or texted back.

Sound familiar?

What a normal week looks like without the right system

We hear these from HVAC contractors all the time. Here is what Suprata does about each one.

The first ninety-degree day, the phones ring off the hook and half the calls go to voicemail. Those people just call the next company.

Suprata rings every phone you list at once, and anyone it misses gets a text from your business number within seconds.

We sell maintenance plans, but nobody remembers to book the fall visits. Then the customer cancels at renewal because we never showed up.

A service agreement holds the visit schedule, creates the tune-up jobs on its own and puts renewals in the work queue 45 days ahead.

My tech shows up and has to ask the homeowner what brand the furnace is and how old it is.

Installed equipment lives on the account with model, serial and install date, and the HVAC Evaluation form records refrigerant type, capacity and condition on every visit.

The van is out of capacitors again and nobody knew until the tech was standing in a hot attic.

Each van can be its own warehouse with minimum stock levels, and parts used on a job come off that van's count.

A day in the life with Suprata

One ordinary day, start to finish

Here is how the work flows when every call, job, booking and payment lives in one place.

  1. 6:45 am

    Daily brief

The owner reads a short brief of today's no-heat calls, unsigned proposals and overdue invoices.

  2. 7:15 am

    Board check

Dispatch runs route optimization on twelve spring tune-ups and drops two no-cool calls into the gaps.

  3. 9:30 am

    Unit history on arrival

The tech opens the job and sees last spring's capacitor reading, so the right part is already on the van.

  4. 11:40 am

    Replace or repair

A fifteen-year-old condenser gets three options on one proposal, and the homeowner signs the middle one with a deposit.

  5. 2:20 pm

    Missed call caught

Nobody can pick up, so the caller gets a text back and replies with their address before trying anyone else.

  6. 5:30 pm

    Close out

Completed tune-ups turn into invoices, the plan visits are marked done, and the day's payments sync to QuickBooks Online or Xero.

Can it run our maintenance plan visits without us booking each one?

Yes. A service agreement holds the schedule, such as one cooling and one heating visit a year, and creates those visits on its own. Renewals show up in the work queue ahead of time.

Does it have an HVAC form for our techs?

Yes. HVAC Evaluation and HVAC Install forms ship with the system and attach by job type. You can add fields, such as the brands you actually service, with the form builder.

Can we find every customer with an older system?

Yes. Filled-in forms are searchable side by side, so you can pull every unit over a certain age or with a certain refrigerant type.

Can I charge tax differently on parts and labor?

Yes. Tax categories let parts and labor carry different rates on the same invoice.
