Suprata for commercial HVAC and mechanical contractors

Planned maintenance for every rooftop, every site, every quarter

Commercial work means many buildings, many contacts and a contract behind every visit. Suprata keeps each site's equipment, its maintenance schedule and its billing straight. The property manager gets one statement, and your techs know which unit on which roof.

What a normal week looks like without the right system

We hear these from commercial HVAC and mechanical contractors all the time. Here is what Suprata does about each one.

One property manager has eighteen buildings with us. Every invoice has to go to the right owner, and they all want one statement a month.

One contact can sit on many accounts, and a billing account can receive the invoices for many sites on a single statement.

Our quarterly PM visits live in a spreadsheet. A missed filter change on a school rooftop costs us the contract.

A service agreement creates each quarterly visit for each site on its own, and recurring visits can repeat across a multi-site customer.

The tech gets to the roof and there are six units. Nobody knows which one we replaced the compressor on last year.

Each installed unit is tracked at its service location with model, serial and service history, so the job is tied to the exact unit.

Accounts payable at these companies pays on net thirty, and chasing the stragglers eats my office manager's week.

Payment terms sit on the account, and the aging report, bulk statements and past-due reminders show who to call today.

A day in the life with Suprata

One ordinary day, start to finish

Here is how the work flows when every call, job, booking and payment lives in one place.

  1. 6:30 am

    Board for the week

Dispatch sees forty-two planned maintenance visits generated from agreements, grouped by site.

  2. 8:00 am

    On the roof

The tech opens the site record, picks the right rooftop unit and fills in the HVAC Evaluation form with readings and photos.

  3. 10:15 am

    Parts on order

A failed economizer motor goes onto a purchase order to the supplier, and the job moves to Awaiting Parts.

  4. 1:00 pm

    Facility request

A building engineer reports a hot office. The ticket gets a priority, a due date and an owner.

  5. 3:30 pm

    Quote the fix

The office sends a proposal for the replacement unit to the property manager, who signs online.

  6. 5:00 pm

    Month-end statements

Statements go out to each property owner with every site's invoices and a pay link.
