Suprata for commercial equipment service companies

Every unit, every site, every visit on one service history

Commercial equipment service is a contract business. Suprata keeps each unit's model, serial number and history at the site where it lives. Preventive maintenance agreements create their visits on schedule, and business customers get Net terms and one statement.

What a normal week looks like without the right system

We hear these from commercial equipment service companies all the time. Here is what Suprata does about each one.

A restaurant chain has nine locations and forty units, and my tech shows up not knowing which fryer is the problem.

Each unit is an asset at its service location, with model, serial number, install date and every past visit.

PM visits slip because they live in a spreadsheet nobody opens.

Preventive maintenance agreements create the jobs and invoices on their schedule, and renewals land in a queue 45 days ahead.

My tech drives back to the shop for a part that was in another van.

Each van is its own warehouse, so you can see who has the part before anyone drives.

The customer's accounts payable rejects our invoice because the PO number is missing.

Business accounts carry their contacts and payment terms, and each job holds the reference the customer needs on the invoice.

A day in the life with Suprata

One ordinary day, start to finish

Here is how the work flows when every call, job, booking and payment lives in one place.

  1. 7:00 am

    Dispatch

The dispatcher works the board: today's PM visits from agreements, plus two breakdown tickets from overnight.

  2. 8:10 am

    On site

The tech opens the unit's record at the customer's location: model, serial, last service and the part replaced last time.

  3. 10:30 am

    Van stock

A compressor relay is needed. The tech sees the next van over has one, and the part moves to this job.

  4. 1:00 pm

    Quote for replacement

An old unit is not worth repairing. The office sends repair and replacement options to the customer's facility manager.

  5. 3:00 pm

    Renewals

Agreements coming up for renewal in 45 days sit on the Work Queue, and the office calls through them.

  6. 5:00 pm

    Invoices out

Closed jobs become invoices on the customer's terms and sync to QuickBooks Online or Xero.

Can I track equipment at many sites for one customer?

Yes. An account can have many service locations, and each location can have many units, each with its own service history.

How do preventive maintenance contracts work?

A service agreement holds the terms and a schedule. The schedule creates the jobs and invoices, and renewals come up in a queue.

Can I track parts in each service van?
