Suprata for picnic shelters and pavilions

Pavilion reservations without the clipboard at the park office

Every summer weekend, the same shelters are booked for reunions and birthday parties. Suprata books each pavilion as a time-slot resource the public reserves in the portal, adds fees for things like electricity, and pairs bookings with special-use permits. Park departments get approvals and rental contracts with Suprata Recreation.

What a normal week looks like without the right system

We hear these from picnic shelters and pavilions all the time. Here is what Suprata does about each one.

Two families showed up at Shelter 2 with the same receipt.

Each shelter is a bookable resource, and a second booking for the same time is refused.

People book the big pavilion for a reunion and ask about electricity the day before.

Optional fees are checkboxes at booking and required ones always apply, so electricity or extra cleanup is on the invoice from the start.

If they want a bounce house, they need a separate permit, and they never get one.

A booking type can require an active permit, so the special-use permit comes first and the booking follows.

The rangers don't know who has the shelter until they find a paper taped to the post.

Staff open the day schedule on a phone and see who has each shelter and when.

A day in the life with Suprata

One ordinary day, start to finish

Here is how the work flows when every call, job, booking and payment lives in one place.

  1. 8:00 am

    Weekend check

The park office opens the day schedule: four shelters, eleven bookings, two waiting for approval.

  2. 9:30 am

    Phone booking

A caller books the lakeside pavilion for Saturday from noon to four and adds electricity.

  3. 11:00 am

    Permit review

An inflatable permit application with an insurance upload is approved in the queue.

  4. 1:00 pm

    Storm damage

A limb is down on Shelter 3, so staff close it on the park map and bookings on it are blocked.

  5. 3:00 pm

    Moving a party

Staff drag Saturday's Shelter 3 booking to Shelter 4 and text the family.

  6. 5:00 pm

    End of day

The day's shelter fees and permit payments land in the revenue report.
