Suprata for community action agencies

Heating help and weatherization from one household record

Families apply from a phone. Your intake workers see eligibility, the estimated benefit and the exact documents needed while they type. Approved benefits go to fuel vendors in weekly batches, and weatherization jobs run from a ranked waitlist to the final invoice.

What a normal week looks like without the right system

We hear these from community action agencies all the time. Here is what Suprata does about each one.

In January the line goes out the door, and every application is a stack of paper and a calculator.

Guided intake shows eligibility, the estimated benefit and priority flags live as the worker types, with the math shown.

Every family is missing a different document, and we mail letters back and forth for weeks.

Suprata lists only the documents a household's answers require, and families upload them from a phone.

Our fuel vendors call every week asking when they'll get paid.

Certified benefits flow into weekly payment batches, and vendors see notices and remittance advice in their own portal.

Weatherization jobs stall between the energy audit and the contractor, and nobody can say which funding source pays.

Jobs move from audit to work orders to inspection, and monthly agency invoices split costs across funding sources.

A day in the life with Suprata

One ordinary day, start to finish

Here is how the work flows when every call, job, booking and payment lives in one place.

  1. 8:00 am

    Overnight applications

Applications families started from their phones show up by status, with uploaded documents attached.

  2. 9:30 am

    Intake appointment

The worker enters household members and income. Priority flags for a member 60 or older, a child 6 or under, or a disability appear on their own.

  3. 11:30 am

    A crisis application

A family is nearly out of oil. The emergency crisis application is certified and joins this week's vendor batch.

  4. 1:00 pm

    Auditor in the field

The energy auditor works the job on a tablet with no signal, takes photos, and syncs back at the office.

  5. 3:00 pm

    Release the vendor batch

Fiscal staff review the weekly batch and release it as a bank transfer file or to finance software.

  6. 4:30 pm

    Board numbers

The dashboard shows households served by county and funding source, ready to export for the board.

Questions we hear

Straight answers

Asked by community action agencies before they switch.

Can we change income limits ourselves for next season?

Yes. Income limits and benefit tables are dated rule versions your program staff edit and can schedule ahead.

Do fuel vendors see a family's income?

No. The vendor portal shows credit notices, vouchers and remittance advice only, with no access to income or weatherization data.

Does the auditor's app work without a signal?

Yes. Entries wait on the device and sync when the signal returns.

Can families apply without coming in?

Yes. Families apply from a phone, upload documents, check status and message their local agency through the applicant portal.
